Safeguarding Policy

How C-Raw Studios helps keep children, young people and adults at risk safe.

1. Scope

This Safeguarding Policy applies to all C-Raw Studios Limited services that involve children, young people and adults at risk, including recording sessions, mentoring, artist development, workshops, education and community programmes, Legacy Sessions and home recording. It applies to the founder, engineers, producers, session staff, volunteers and anyone working on behalf of C-Raw Studios.

2. Principles

C-Raw Studios is committed to keeping children, young people and adults at risk safe from harm, abuse and exploitation. We listen to those we work with, take their concerns seriously, and act in their best interests. We do not provide clinical, social-work or emergency services, and this policy does not replace the safeguarding responsibilities of referring organisations.

3. Roles and responsibilities

Overall responsibility for safeguarding at C-Raw Studios rests with the Director. Until a named Designated Safeguarding Lead is formally confirmed for publication, all safeguarding concerns should be reported to info@c-rawhq.com. Staff are expected to read and follow this policy and to complete appropriate safeguarding awareness guidance.

4. Reporting concerns and disclosures

Anyone working with C-Raw Studios who becomes aware of a concern, disclosure or sign of possible abuse must report it to the safeguarding contact without delay. If a child or adult is in immediate danger, contact the emergency services on 999 first. Reports should be factual and recorded promptly. C-Raw Studios will cooperate with statutory authorities, including local safeguarding partnerships and the police, where appropriate.

5. Emergency action

In an emergency, staff may contact emergency services and the named emergency contact provided for the booking. Information will be shared on a need-to-know basis with those responsible for the individual's safety. This does not replace the emergency procedures of a referring organisation.

6. Professional boundaries

Staff maintain professional boundaries with participants. Sessions are conducted in appropriate environments, and lone work with a child or adult at risk is managed carefully, with prior consent and, where relevant, parental or organisational agreement. Staff do not give personal contact details to participants or connect on personal social-media accounts.

7. One-to-one sessions

One-to-one sessions with under-18s take place only with advance permission from a parent, legal guardian or responsible referring organisation. Where practical, sessions are held in spaces where others are nearby, or with appropriate visibility. The adult authorising the booking remains responsible for the booking and for providing accurate emergency and support information.

8. Electronic communication

Communication with participants under 18 is conducted through approved, professional channels and, where appropriate, through the parent, guardian or referring organisation. Staff do not engage in private or inappropriate messaging with participants.

9. Photography and media

Photographs, video or audio featuring an identifiable participant are not used for C-Raw Studios promotional content without clear, separate permission. For under-18s, permission must be obtained from a parent or legal guardian, with the young person's views respected where appropriate. Media consent is optional and may be withdrawn for future use.

10. Confidentiality and information sharing

Safeguarding information is handled confidentially and shared only with those who need it to keep someone safe, or where the law requires it. The limits of confidentiality are made clear where appropriate. Records are stored securely and access is restricted.

11. Allegations against staff

Any allegation against a member of staff or anyone working on behalf of C-Raw Studios is taken seriously, recorded, and handled in line with local safeguarding procedures. The individual may be suspended from relevant duties while a concern is investigated. C-Raw Studios will cooperate fully with statutory authorities.

12. Record keeping

Safeguarding concerns, reports and actions are recorded promptly and factually, and stored securely with restricted access. Records are retained in line with legal requirements and this Privacy Policy.

13. Recruitment and DBS

Relevant practitioners working with children or adults at risk hold an appropriate DBS check where required for their role. C-Raw Studios follows safer recruitment practices appropriate to the size and nature of the business. Specific DBS status and recruitment details are confirmed for each programme where relevant.

14. Partner-organisation responsibilities

Where C-Raw Studios delivers a programme for a school, council, care provider or other organisation, that organisation's own safeguarding policies, risk assessments and consent processes remain in effect. C-Raw Studios works alongside the organisation and follows agreed procedures. This policy does not replace those of the referring organisation.

15. Review

This Safeguarding Policy is reviewed at least annually and whenever there is a material change to our services, staff or safeguarding guidance. The review date below shows when it was last updated.
